Business Hours Optimization Guide for Insurance Agents
Your phone is your fastest path to new policies—and your biggest leak when you’re in a client appointment, driving to a home visit, or stuck in a carrier portal. This guide helps you set business hours that match when people actually call for quotes, changes, and urgent issues like accidents or lapses, without burning yourself out.
1) Know your real call types (and why “business hours” isn’t one-size-fits-all)
Insurance calls don’t all have the same urgency. A price shopper asking for “full coverage” can wait 30–60 minutes, but a driver saying “I just got in an accident” or a buyer saying “my lender needs the binder today” can’t.
Break your calls into four buckets and set different handling rules for each:
- **New quotes (auto/home/renters):** “Can you beat my rate?”, “I need SR-22”, “I’m adding a teen driver.” These are high-competition—first agent to respond often wins.
- **Life insurance scheduling:** “I want a $500k term policy,” “Do I need a medical exam?” These are high-value ($500–$5,000 commission) but usually require a scheduled call.
- **Service changes:** “Add a vehicle,” “Change mortgagee,” “Update VIN,” “Cancel my old policy,” “I need proof of insurance.” These are frequent and time-sensitive.
- **Urgent issues:** accidents, claim filing, coverage lapse notices, non-payment cancellations, home closing deadlines, weather losses.
The goal isn’t to be ‘open’ forever—it’s to be reachable for the right things, and to respond fast to quote shoppers so you don’t lose a $100–$300 home policy commission or a $50–$150 auto policy commission to the next agent on Google.
