Business Phone System Setup Guide for Travel Agents
Your phone is your front desk, your emergency line, and your sales tool—often while you’re on hold with an airline or walking a client through resorts. This guide helps you set up a travel-agent-ready phone system that captures leads, handles after-hours calls, and routes true travel emergencies fast (without you living on your phone).
1) Choose the right phone number (so clients trust you and emergencies reach you)
For most travel advisors, the best setup is one dedicated business number that follows you everywhere. Avoid using your personal cell number on quotes and itineraries—when a flight cancels at 11:30pm, you want control over routing and after-hours rules.
Pick your number type based on how you sell:
- Local number: Best if you market “Travel Agent in [City]” and rely on referrals and local Facebook groups.
- Toll-free: Useful if you sell nationwide (destination weddings, Disney, cruises) and want a “bigger” brand feel.
- Keep your existing number (port it): If your number is on old itineraries, email signatures, supplier profiles, and Google Business Profile, port it so you don’t break emergency contact habits.
Keep your old number active for 30–60 days after switching. Add a temporary message: “You’ve reached [Agency Name]. Our new main number is…” so you don’t lose past clients planning a $200–$1,000 honeymoon or a $500–$5,000 group trip.
Set one number as your “Itinerary Emergency Line.” Put it on your Trip Plans and client-facing documents. Don’t put a direct cell line there—use a number that can ring you, your assistant, and your AI/backup system.
