After-Hours Call Handling Guide for Dance Studios
After-hours calls can make or break your dance studio—especially when parents are trying to get their kid started this week, not next month. This guide gives you clear rules, scripts, and a simple system so you don’t lose enrollments to faster-responding studios while you’re teaching (and can’t stop mid-class).
1) What counts as an “emergency” for a dance studio (and what can wait)
In a dance studio, “emergency” usually doesn’t mean life-or-death—it means “if we don’t respond tonight, we’ll lose money, miss a deadline, or ruin a performance.” Most after-hours callers are parents, teens, or competition-team families who need clarity fast.
Treat these as after-hours emergencies:
- Competition schedule changes: call time moved, venue changed, group number changed, or “Where do we check in?”
- Recital show-day issues: missing costume, missing tights/shoes, hair/makeup rules, call time, ticket pickup confusion.
- Payment or enrollment blockers that stop a new student from registering tonight: “Your website won’t take my card,” “I need to start tomorrow,” “Which class is open for a 7-year-old beginner?”
- Facility access problems right before/after a rehearsal: locked door, alarm going off, lost item that must be found before the next day (prop, costume bag).
These can wait until the next business day:
- “What’s your pricing?” when it’s not tied to same-day signup (drop-in $15–$30, monthly unlimited $100–$200, privates $60–$150).
- Makeup/color questions for recital that aren’t show-day.
- Long placement discussions (“Should my kid switch to competition team?”) or schedule planning for next month.
- Routine refunds, makeup classes, or attendance notes.
You’ll get fewer angry messages if you set the rule up front: “We respond after hours only for recital/competition time-sensitive issues or enrollment/payment blocks.”
