Complaint Handling Scripts for Plumbers
Plumbing complaints usually come in hot because the customer is dealing with water damage, sewage smell, or no hot water right now. The best complaint scripts keep you calm, protect you from admitting fault, and move the call toward a clear next step—even if you’re in a crawl space with wet hands and bad signal.
Initial Complaint Intake (Leak Came Back / ‘You Didn’t Fix It’)
Use when a customer says the leak returned or the repair failed after you left.
“I’m sorry you’re dealing with that—especially with water involved. I want to get the full picture so we can stop the damage. Can you tell me what’s happening right now: active dripping, spraying, or just moisture? Is the water at a shutoff valve, under a sink trap, a water heater, or behind a wall? For safety, if water is running, please shut off the fixture valve or the main water shutoff, and if there’s any water near an outlet, avoid that area. I’m going to pull up your job notes and we’ll line up the fastest way to get eyes on it.”
Tips for this scenario
- -Ask “dripping vs spraying” so you can decide if it’s a $200–$800 emergency leak dispatch or a same-day revisit.
- -Use location words customers recognize: “under the sink,” “toilet base,” “water heater pan,” “crawl space,” “cleanout.”
- -Have them shut off the angle stop or main before they keep talking—minutes matter with water damage.
