No-Show Follow-Up Templates for Photographers
No-shows hit photographers harder than most businesses because your time slot is the product—and you can’t “sell” that hour once it’s gone. You’re also often mid-shoot with a camera in hand, so you miss the call that could save the session or rebook the date. These templates are built for portrait sessions, weddings, corporate headshots, and event coverage—so you can follow up fast without sounding harsh.
Same-day no-show call (Portrait / Family session)
Use 5–10 minutes after the start time when they haven’t arrived or texted.
“Hi [Name], it’s [Your Name] with [Studio]. We’re at [Location] for your [family/portrait] session scheduled for [time]. Are you on your way, or do we need to switch to a later start? I can hold the slot until [time + 15 minutes], then I’ll need to move on so we don’t lose the best light. If you want, we can also reschedule—just tell me what’s going on and I’ll help you find the next available time.”
Tips for this scenario
- -Use “best light” and a specific hold time (10–15 minutes) so it feels practical, not punitive.
- -If it’s an outdoor session, mention weather/light as the reason you can’t wait forever.
- -Say the session type (“family,” “senior,” “couple”) so they instantly know what you’re calling about.
