This guide shows you how to set up a phone system that answers fast, books the job, and routes true emergencies correctly—without you touching your phone.
1) Pick the right phone number (so customers trust it in a heatwave)
You basically have three choices: use your cell number, get a local business number, or get a toll-free number. For HVAC, a local number usually wins because homeowners searching “AC repair near me” trust a local area code when it’s 95°F and their house is 82°F inside.
If you already have your personal cell on yard signs, trucks, or invoices, don’t throw it away. Port it (move it) into a business phone system so you keep the same number but gain tools like after-hours routing, call recording, and a clean voicemail greeting. Porting prevents the nightmare of “old number still on Google” during the first hot day of summer.
Set up a second number only if you need it for tracking (example: one number for Google Business Profile, one for PPC ads, one for maintenance plan customers). Keep it simple: one main number that always gets answered fast, and optional tracking numbers that forward into the same system.
