Appointment Scheduling Tips for DJs
If you DJ weddings, birthdays, corporate parties, and club nights, your schedule isn’t “appointments”—it’s hard start times, load-in windows, and high-stakes events where you can’t pick up the phone. This guide gives you DJ-specific scheduling rules you can use today to book faster, avoid double-booking, cut no-shows, and protect your energy (and your hearing) during peak seasons.
1) Build your “DJ availability map” (the hours you should actually offer)
Stop offering open-ended availability like “anytime Saturday.” Your clients think in event blocks: ceremony, cocktail hour, reception, doors open, speeches, and last call. You should schedule like that too.
Set two clear booking windows for most weekends: an “early event” block (think corporate luncheons or daytime birthdays) and a “prime event” block (weddings and evening parties). Example: Saturday Block A = 12pm–5pm (birthday party $300–$800 / corporate $500–$2,000). Saturday Block B = 6pm–12am (wedding reception $1,000–$3,000 / club night $200–$1,000). Don’t allow new bookings to overlap those blocks.
For weddings, treat the start time as non-negotiable and protect the setup window. If a couple says, “Music starts at 6,” you schedule 4:30–11:30 (includes load-in, soundcheck, reception, tear-down). For club nights, confirm set length and handoff: “I’m on 10–2 with a 15-minute changeover at 9:45.”
Make weekdays simpler: reserve 2–3 weekday evenings for consult calls and playlist planning, not gigs. Put those on your public booking link as “planning calls only.”
