Appointment Scheduling Tips for Florists
Your schedule is the difference between a calm design bench and a day that spirals into late deliveries, missed calls, and rushed arrangements. Florists have a unique mix of fast-turn bouquets ($50–$150), urgent funeral work ($100–$500), and long-lead weddings ($1,000–$5,000), so your calendar needs rules that match real floral timing.
1) Build your “florist day” around design time, delivery time, and pickup time (not just open hours)
Most florist schedules fail because everything is treated like the same kind of appointment. In reality, you have three different work modes: (1) design/production with wet hands and tools, (2) delivery runs that remove you from the shop, and (3) customer-facing consults that require attention and samples.
Set fixed blocks for each mode. Example weekday structure: Design Block 9:00–11:30 (bouquets, vase work, centerpieces), Consult Block 12:00–2:00 (wedding meetings, sympathy planning), Delivery Block 2:30–4:30 (routes), Quick Pickup Window 4:30–5:30 (grab-and-go orders). If you do same-day bouquets, keep your earliest promise time after your first design block (ex: “Ready after 11:30”).
Use clear labels on your calendar that match your shop language: “Bouquet Build,” “Sympathy Set,” “Wedding Consult,” “Venue Load-In,” “Delivery Route A.” It makes it easier to say yes/no fast when calls come in like, “Can you do a dozen roses today?” or “I need something for a service tomorrow morning.”
