Client Retention Call Scripts for Event Planners
Event planning clients don’t “re-buy” the same way other services do—until you build the habit: annual parties, company events, anniversaries, and referrals. These call scripts are built for the reality that you’re often onsite, in a vendor meeting, or running a timeline—so each script is short, calm, and designed to lock in repeat work without sounding salesy.
Post-Event Check-In (48–72 hours after the event)
Use after a wedding, corporate event, or birthday party to capture feedback, secure reviews, and tee up the next booking.
“Hi [Name], it’s [Your Name], your planner for [Event Name] on [Date]. I wanted to check in now that you’ve had a day to breathe—how are you feeling about how everything went? Was there anything that surprised you in a good way, or anything you wish felt smoother? If you’re happy, would you be open to leaving a quick review on Google or The Knot? I’ll text you a direct link so it’s easy. Also, I keep notes for next time—do you have any upcoming dates like a holiday party, a milestone birthday, or a company event you want on my radar?”
Tips for this scenario
- -Name one specific win to jog their memory: “your grand entrance timing” or “the vendor load-in went clean at 3:00.”
- -For weddings, ask about “timeline” and “vendor coordination”; for corporate, ask about “run of show” and “speaker cues.”
- -Text the review link during the call so they can do it while you’re on the line.
