When you can’t answer live (you’re mid-signing or driving), you need a fast triage script that collects the right facts. You’re screening for: identity, capacity, document type, location access, deadline, and payment.
Decision Tree (yes/no):
1) Is the signer physically present and willing to sign today? If no, it’s not schedulable.
2) Do they have acceptable ID for your state (unexpired government photo ID, etc.)? If no, ask about credible witness rules in your state; otherwise decline.
3) Is the signer alert and aware (especially hospital/hospice)? If no or questionable, you must refuse.
4) What document is it? (POA, deed, affidavit, loan package, DMV, travel consent, I-9, etc.) If it’s a loan signing, confirm it’s a full package and ask when docs will be ready.
5) Where is it happening? (hospital room, nursing home, jail, title office, home) If facility, ask: visiting hours, notary allowed, witness requirements, parking/entry.
6) What’s the deadline? (funding cutoff time, courier pickup, “before surgery,” end-of-day) If the deadline is vague, treat it as standard priority.
7) How many signers and how many notarizations? If “a lot,” quote a range and confirm by photo of signature pages.
8) Are required witnesses available? If not, can you provide witnesses (if you offer it) and charge for it.
If steps 1–3 fail, you stop. If they pass, you book the earliest feasible slot and send a confirmation text that lists ID, document, payment, and address details.
