Appointment Scheduling Tips for Print Shops
Your print shop can’t stop a press mid-run to pick up the phone—and every missed call is a rush job going to a competitor. This resource gives you scheduling windows, buffers, and emergency-slot rules built for real print workflows (press, cutting, finishing, installs) so you can book smarter without blowing deadlines.
1) Build your schedule around the press (not the phone)
Most print shop chaos starts when you schedule like an office, but you work like a production floor. Once your press is running, you can’t safely stop to talk through paper stock, bleed, or “can you do it today?” questions. Your schedule has to protect long press runs and finishing windows.
Split your day into “customer contact blocks” and “production blocks.” Contact blocks are when you call back missed calls, confirm files, and take deposits. Production blocks are when you run the press, laminate, mount, cut, and pack—no interruptions.
A simple structure many shops can use today: 9:00–10:00 for callbacks/quotes, 10:00–12:30 production, 12:30–1:00 pickups, 1:00–3:30 production, 3:30–4:30 proofs/final approvals, 4:30–5:00 pickups. Adjust times, but keep the idea: phone time has a home so production doesn’t get shredded by constant interruptions.
